Your plan and billing live on Configuration > Account.

When your trial ends

If you have added a card under Billing Details, your subscription starts when the trial ends. Nothing is charged during the trial.

If you have not, your organization moves to the Free plan within a day of the trial ending. Nothing is deleted, and owners and admins receive an email saying how your inventory compares with the Free plan's limit. If your inventory is over that limit, they are warned three days before the trial ends.

What the Free plan allows

The Free plan covers 50 assets and one workspace. Workspaces you already have stay usable, but you cannot create or unarchive another.

Over 50 assets, everything stays readable and exportable, but adding and editing assets pause until you are back under. Delete assets, clear sample data or archive workspaces to get there.

Moving to the Free plan

If you pay for Standard or Premium, an owner or admin can choose Cancel plan on Configuration > Account. Before you confirm, it tells you when the move takes effect and whether your inventory fits the Free plan.

If you are part-way through a paid period or a trial, you keep your plan until it ends, then move to Free, and your card is not charged from then on. No refund is given for the rest of a period you have paid for.

You are asked why you are cancelling, and your answer is kept without your name or email address.

Changing your mind

Until the move takes effect, the Account page shows its date with a Keep button. Choose it and your subscription continues as before.

Coming back

From the Free plan, Change Plan on the Account page moves you to Standard or Premium, as long as your inventory fits the plan you choose.

Deleting your organization

Only the owner can delete an organization. Go to Configuration > Settings and choose Delete under Danger Zone. Before you confirm, the dialog links to each workspace so you can export it, and, if you pay for a plan, offers moving to the Free plan instead. No refund is given for a period you have already paid for.

Once you confirm, you are signed out, and within about ten minutes the organization is erased: its workspaces, inventories, maps, styles, uploaded files, publications, API keys and every member's access. Your Aplas login is not removed and still works for other organizations you belong to. The reason you gave is kept, without your name or email address.

Every member receives an email once the deletion is complete. It says we keep a backup for 90 days, so an organization deleted by mistake can be recovered within that time by writing to support@aplas.com

Keeping a copy of your data

Export works one workspace at a time. Open the workspace's inventory, open the menu on the workspace's name in the header, and choose Export.

You get an Excel file of the workspace's asset types, relationship types, assets and relations, which Import can restore into an empty workspace later.

Tell us why

Some of our emails, such as the one sent when a trial ends without a card, end with a short list of reasons you might be leaving. Tapping one opens a page, without signing in, where you can add a comment and choose Send. Your answer changes nothing about your plan or your data.
